EXAMPLES

Here are some examples of how RPA and BPA complement one another. 

Bot extracts data from different sources, including paper documents such as invoice, delivery order (DO) and purchase order (PO).

Data is pushed into the BPA solution with the RPA bot.

BPA form interface will do the matching and perform process routing as per process requirement. Example such as sending for approver routing, sending emails for notification and routing based on value of the order.

Scenario ​1.

If data is matching from all 3 sources. The BPA solution can notify the finance team on payment, approvals if required and as well as generating the documents as required.

Scenario 2.

If data is found not to be matching. The BPA solution will notify the individual on performing the task to rectify or check their sources.

A task will be sent out to the individual parties and the BPA solution will monitor for the completion and status of the task.

Upon completion of the task by the task owner. The BPA will trigger the RPA bot to perform another round of data extraction for verification purpose.

When a new employee joins the company, they upload a form into the HR system.

The bot in the system automatically passes this information to the HR, Finance, and Line Manager for verification.

Upon verification, the bot sends the relevant on-boarding materials specific to the new employee’s role based on value of the order.

The bot then consults calendars and intelligently schedules induction sessions with team members across the week.

Once all the necessary actions, such as induction sessions and mandatory training, are completed, the HR system will mark the on-boarding as successful. This can happen as quickly as a week.

After a project is completed, a vendor submits an invoice via email to the Finance team.

The bot automatically extracts the information from the email and uploads it into the system.

The bot performs a 2-way match, from invoice to PO, then checks exceptions on the PO reference and/or amount.

The bot updates the match status of the invoice record before initiating invoice processing.

Scenario ​1.

When PO is found and the amount matched, the vendor is informed on the payment.

Scenario 2.

If data is found not to be matching, the BPA solution will notify the Finance AP User to rectify or check the invoice.
